A Exhibitor set up begins at 7 a.m. the day of the show.
Doors open at 9:30 a.m. or 10:00 a.m. and close at 3:00 or 3:30 depending on show area.
Exhibit tear down 3:00 to 4 p.m.
TABLE SIZE indicated on the show application page. Some showrooms have a combination of 8' x 30' and or 6'
x 30" uncovered tables. You must provide
your own attractive table cover that extends to the floor on all three sides. Chairs are included.
ELECTRICITY will be provided at no extra
charge. If you wish extra lights you
must provide your own light fixtures, heavy-duty extension cords, connectors,
and tape. Some showrooms are very dark and others have areas that are not
well lit. No flashing lights or signs permitted.
SET-UP TIME begins at 7 a.m. (the day of the show) through the main lobby or back convention
doors. Bellmen are usually available to help and expect gratuities. Please DO NOT take a hotel cart to your sleeping room overnight. Please
unload your vehicle quickly so others can experience by-the-door convenience. Please do not
block the cart ramp with your vehicle.

A PLACE CARD will mark your exhibit area. You must be set-up and
ready by show time. Before the show there will be a brief dealer meeting. No
early departures. Badges, programs, pen, tax forms will be on your
table.
TABLE FEES are listed on the show application and vary from
$100.00 to $175.00 per table. Dealers may not share tables, nor may they sell or
give their tables to other dealers. The $40.00 registration
deposit submitted with the application is non-refundable &
non-transferable. Within the month before a show, should you cancel,
there is no refund. A service fee of $15.00 on returned checks. We accept
MasterCard, Visa, American Express, Discover, Money Orders, Cash and
Personal checks. Please print your business name on your personal check. Balance
of table fees are due one month before the show.
DRESS CODE - Please dress professionally looking and warm.
Airconditioner vents can blow cold air on you. Please no very casual sports
clothes or shorts.
LODGING - Special room rates are often offered by the hotels. Please act quickly to secure your sleeping room at special
rates or ask for weekend rates. Rooms are released to general booking 2-4 weeks before the show. Link to the hotels by clicking on the hotel photo on the Show Schedule page. There you will find more information.
FOOD - You'll be greeted with hot coffee. Special hotel menus will be available to order your lunch.
Hotel rules and regulations prohibit bringing fast-foods into the showroom.
Please patronize any food service that is offered by Bright Star
Promotions. Please eat behind your booth.
SMOKING is not permitted in or around the
showroom. Please note that most hotels now are smoke free throughout.
DOOR PRIZES - Door prizes in the form of Star Bucks will be awarded to a lucky customer during the show. The door prize pool is funded by $5.00 from each of the exhibitors before the show. We thank you for your contribution and participation in this promotional plan. See the details.
EARN SHOW CREDITS - With a show confirmation you will be sent a PDF flier. You can earn show credits by printing and distributing the fliers at other shows, tucked into your orders, etc. Here is how it works. Place your name or business name on the line by the star. Cut the flier page into quarters. When a collector presents us with the flier, saving them a $1 on admission, YOU will receive a credit of $1.00! This credit will be applied to the next year's show or other Bright Star Promotions shows, reducing your total booth fees! Whether you print the fliers in full color or black/white on colored paper, be sure to sign them! Distribute enough fliers and if a lot of collectors present your signed fliers, your table fee might be completely free the next year!
MEET AND GREET PASSPORT GAME - At some shows, collectors will be given a 'Meet & Greet Passport' and they'll present it to you, you punch their card and they could win a teddy bear. We provide the bear and the hole punch. It's a fun 'game' for the collector and it keeps the collectors in the showroom longer!
MERCHANDISE - All items for display and sale must be in keeping with Teddy
bear collecting. Bring ample merchandise clearly marked with the
price. No selling under fair market value. This is a retail show. Each table
will be reviewed before the show opens, and items of poor taste or not
conforming must be removed. No flashing lighted signs, TV's, radios, or music
playing in your booth area. Displays must be confined to the area represented by
the table size. No displays or merchandise in the aisles. Our pricing and show
rules are strictly enforced. Attach sales receipt with your company name to each
bag.
ADVERTISING - Prior to the show you can
request show fliers, postcards and discount coupons to send to your customers.
Let them know you'll be in the area and invite them to the show. Local
advertising and our own mailing list will alert the collectors too. We all
must do our part to make the show terrific!
PHOTOS WANTED - Send photographs of your
bears to be included in our Sneak Preview Web page. Send 35mm or JPG files.
Place your business name on the back of the photo or in the email. Submit a photo of your bears to be
considered for the show postcards. You could be a winner!
CREDIT CARD PROCESSING
SERVICE OFFERED - Don't let a sale get away
because you do not have MasterCard, Visa, Discover or American Express, Bright
Star Promotions, Inc. Vendor Services will process the charges for you. This
procedure will be explained during the dealer meeting. Ask for a charge card
sign to put on your table. This service is available to you at other shows. Ask
us how.
A CONNECTION for
your own credit card scanner is provided at no extra charge. You must be able to
program your scanner to accept 'dial 9 for outside line'. You may use our
phone line to call in your charges.
TAX COLLECTION - Each State has sales tax regulations. Information
will be sent upon acceptance into the show. You are required to be licensed in some states to collect and pay
sales tax on retail sales. Tax charts and forms will be provided at the show.
Please indicate your State Tax Number on the show application.
BADGES - All dealers and helpers will be
issued a badge and it must be worn throughout the show.
PETS are not allowed in the showroom at any
time.
TABLE ASSIGNMENT is on a first-come,
first-serve basis with consideration for Teddy Bear Artists over manufactured
collectibles. Several shows are by lottery drawing. Dealer space is
limited.
LEGAL STUFF By initialing the online application form or signing a printed application, you the exhibitor, being of legal age and for valuable consideration, hereby release Bright Star Promotions, Inc. and the hosting facility (hotel, fairgrounds, exhibit halls as listed in the application) and their agents, employees, directors and officers for any loses of any kind or injury of any kind to persons or property while occupying these premises. The exhibitor shall hold harmless the above mentioned parties from all claims for any damage to property or for personal injury to Exhibitor, any Exhibitor, any of Exhibitors merchandise, and/or any of Exhibitor's customers. By placing your initials in the following box, you agree to abide by the all the conditions and rules governing the show and to a release of liability above with no refund.
